SAHM Deputy Secretary-Treasurer

 

The Society for Adolescent Health and Medicine (SAHM) is seeking applications for the Deputy Secretary-Treasurer position. The appointed deputy will serve a one-year term before assuming the role of Secretary-Treasurer, a non-voting member position on the SAHM Board of Directors and Executive Committee. The Secretary-Treasurer serves a two-year term and eligible to serve a maximum of three consecutive terms. Each term is subject to ‎reappointment by the President. ‎

Skills and Qualifications 
The Secretary-Treasurer shall have:‎

  1. ‎SAHM membership in good standing for the past five consecutive years.‎
  2. Previous service experience (leadership role preferred) in SAHM (e.g., service on a ‎committee, regional chapter, special interest group, etc.). ‎
  3. At minimum 10 years of professional level experience (beyond training) in the fields of ‎adolescent health and/or medicine.        ‎
  4. Excellent written and verbal communication skills, including the ability to effectively ‎communicate with the SAHM membership, Board of Directors, Finance Committee, ‎Executive Director and other administrative staff. ‎
  5. Outstanding organizational skills
  6. Prior experience with managing budgets and reviewing financial reports preferred but ‎not required. ‎

Selection Process


Immediately following the May 6, 2021, application deadline, the following steps will be taken:   
  1. ‎Applications will be reviewed by the following oversight group: Members of the Finance ‎Committee, current Secretary-Treasurer, President-Elect and Immediate Past President. ‎Top finalist(s) will be identified, and interview(s) scheduled.
  2. ‎The oversight committee will meet to review the top finalist(s) after interviews are ‎completed in order to determine the applicant who will be recommended for ‎appointment.‎
  3. ‎Final recommendation for appointment will be submitted by the oversight committee to ‎President for review. ‎
  4. ‎President informs Board of Directors of the recommendation of the oversight ‎committee for discussion. With support of the Board, President confirms appointment. ‎

Overall Job Description


Deputy Secretary-Treasurer and Secretary-Treasurer 

  • Deputy Secretary-Treasurer Term: July 1, 2021 – March 11, 2022‎
  • Secretary-Treasurer 1st Term: March 12, 2022 - March 31, 2024

The first term concludes in March 2024 (two-year term); eligible to ‎serve no more than three consecutive terms. Each term is subject to reappointment by the ‎President.  ‎

The incoming Secretary-Treasurer shall be appointed first to the role of Deputy ‎Secretary-Treasurer by the President (following discussion and support of the Board of Directors) ‎approximately one year prior to completion of the existing Secretary-Treasurer’s final term.  The ‎Deputy Secretary-Treasurer will not be a member of the Board of Directors or the Executive ‎Committee. Following the conclusion of the one-year term as Deputy, the Secretary-Treasurer shall be ‎appointed by the President as a non-voting member of the Board of Directors and the Executive ‎Committee for a two-year term, but not more than three consecutive terms. Each term is subject to ‎reappointment by the President. ‎

Skills and Qualifications: The Secretary-Treasurer shall have: (1) SAHM membership in good standing ‎for past five consecutive years; (2) previous service experience (leadership role preferred) in SAHM ‎‎(e.g., committee, Special Interest Group, regional chapter, etc.); (3) expertise in the fields of ‎adolescent health and/or medicine; (4) excellent written and verbal communication skills, including the ‎ability to effectively communicate with the SAHM membership, Board of Directors, Finance ‎Committee, Executive Director and other administrative staff; (5) outstanding organizational skills; and ‎‎(6) prior experience with managing budgets and reviewing financial reports preferred but not ‎required. ‎

Role and Responsibilities: The Deputy Secretary-Treasurer shall participate in the Secretary-Treasurer roles outlined below.‎

The Secretary-Treasurer shall:

  1. Provide oversight for maintenance of all ‎SAHM financial records, including monthly review of financial statements.
  2. Oversee development ‎of annual budget/supporting documents and present budget proposal to the Finance ‎Committee, Executive Committee, and Board of Directors.
  3. Make recommendations to the ‎Board of Directors regarding management of SAHM’s operating and investment funds.
  4. Present an ‎annual financial report to the Board of Directors and SAHM membership at the annual conference ‎business meeting.
  5. Review and provide final approval of the minutes from all SAHM Board of ‎Directors meetings and the annual conference business meetings.
  6. Serve as the Chair of the Finance ‎Committee.
  7. Provide oversight for the management contract with the SAHM’s business office.
  8. Attend monthly Executive Committee meetings and quarterly Board of Directors meetings, providing ‎financial updates at each meeting. 
  9. Review and sign annual meeting hotel agreements.
  10. Review and approve the annual audit. ‎
